Schedule Zoom Webinars directly from Coeffection, collect registrants, and pull attendee reports automatically after each session ends.

Prerequisites#

Before scheduling a webinar from Coeffection, confirm that both of the following are in place:

  • A Zoom account with the Webinar add-on purchased (available from your Zoom billing portal).
  • The Zoom integration connected in Coeffection under Admin Settings โ†’ Integrations.

Webinar creation requires the Zoom Webinar add-on. It is a paid add-on to your Zoom plan, separate from standard Meetings โ€” confirm you have it before attempting setup.

OAuth Scopes#

When you connect the Zoom integration, Coeffection requests the following OAuth scopes. All three are required for full webinar functionality.

Scheduling a Webinar#

Use the following steps to create a new webinar from inside Coeffection. The webinar is created in Zoom and the registration link is returned immediately.

  1. 1Navigate to Communication Hub โ†’ Webinars in the left sidebar.
  2. 2Click the "Schedule webinar" button in the top-right corner.
  3. 3Fill in the webinar form โ€” Title, Date & Time, Duration, and whether Registration is required.
  4. 4Toggle "Require registration" on if you want Zoom to collect registrant details before granting access.
  5. 5Click "Create". Coeffection calls the Zoom API and returns the registration link, which you can copy and share immediately.

Webinar form fields

  • TitleDisplayed on the registration page and in Zoom.
  • Date & TimeStored in your account timezone.
  • DurationIn minutes. Zoom will end the session automatically.
  • Require registrationToggle on to gate access behind a registration form.

Managing Registrants#

When registration is enabled, Coeffection syncs the registrant list from Zoom and lets you manage it without leaving the CRM.

View registrants

Open the webinar record from Communication Hub โ†’ Webinars and click the Registrants tab. The list refreshes automatically from Zoom every few minutes.

Manually add a registrant

  1. 1On the Registrants tab, click "Add registrant".
  2. 2Enter the registrant's email address and full name.
  3. 3Click "Add" โ€” Zoom issues the confirmation email automatically.

Export registrants as CSV

On the Registrants tab, click the Export CSV button. The download includes email, name, registration date, and any custom questions answered at registration.

Attendee Reports#

Once a webinar session ends, Coeffection pulls the attendee report from Zoom and displays it on the webinar record.

  • The attendee report shows each participant's join time, leave time, and total time in session.
  • Reports auto-sync from the Zoom API within 5 minutes of the session ending โ€” no manual refresh required.
  • To export the attendee list, open the webinar record, go to the Attendees tab, and click "Export CSV".

Troubleshooting#

"Webinar form shows 'Add-on required'"

Your Zoom account does not have the Webinar add-on active. Log into your Zoom billing portal and confirm the add-on is purchased and assigned to the connected account.

โ€œRegistration link returns a 404โ€

The registration link is only live when the webinar status is Scheduled. If the webinar was saved as a draft or subsequently cancelled in Zoom, the link will not resolve. Re-publish the webinar from the Zoom portal or create a new one in Coeffection.
